Sources
- At least one source is in approved status for this college
- Every source shows an owner office and a review date
- Past review dates are flagged and stop new answers until re-approved
Follow the setup order and check off each step. A college cannot publish an assistant until at least one approved source and one tested assistant exist, and a handoff office is named.
You need a MAJIC account for your college company. Staff sign in through their college identity provider where the college has set it up, using SAML 2.0 or OpenID Connect. Each college has its own workspace. System governance staff can see all colleges. College staff see only their college.
Open Sign in and confirm the college name at the top of the app. If a college has more than one workspace name, pick the one for your college and stop if the name is wrong. Check that you can open Today and see work for that college only.
Open Team and add each person by their MAJIC email with the role that fits their work. An approver can approve sources and assistants. A builder can create and test assistants. No person approves their own submission. Remove access in the app when a person changes jobs. Each change is recorded in Activity.
Follow Approve a source. Add one college web page or file, name the owner office, set the review date, and get it approved. Start with public pages that answer common questions. Do not add staff-only pages for a public assistant.
Follow Build an assistant and Test answers. Choose only approved sources for your college, name a handoff office, test three questions, and submit the assistant for approval. Test sessions are labeled as test and do not count in usage reports.
Follow Publish the widget and Read reports. Publish to a test page first, test as a visitor, then publish on a live page. Read questions asked, answered share, hand-offs, and unanswered questions for the first period and assign any gap to an owner.
Do each check in the app. If a check fails, fix it before you publish.
Changes to a published assistant create a new draft and need approval before they go live. Pausing an assistant stops new answers at once and keeps past answers readable. Data at rest stays in the United States. On campus-owned servers, data stays on college hardware. No SOC 2 Type II report or ISO 27001 certification is held today. A HECVAT will be completed during evaluation. A VPAT for the college configuration will be completed during evaluation. The chat screen and widget are built to meet WCAG 2.1 AA, with keyboard and screen reader testing in the pilot.
Support calls are returned within 2 hours, with escalation to named leads. On-site visits are scheduled. Read Security and privacy and Accessibility before you publish.
Approve your first source and record the decision.
