Guides

Guides for building and running Campus Answers

Find the guide for your next task and follow numbered steps in the app. Each guide states who can do the work, what to check before you publish, and what to do when a check fails.

Getting started

Getting started guides by role

Start in this order. A college can publish only when sources are approved, an assistant is tested, and a handoff office is named.

College administrator

Sign in, pick your college workspace, invite an approver and a builder, and set retention and access before students use a published assistant.

Open Get started

Assistant builder

Name an assistant, choose approved sources for your college only, write the welcome text, and test answers before you submit it for approval.

Open Build an assistant and Test answers

Source owner and approver

Add a source, assign an owner office, set a review date, and record a decision. The person who submits a source cannot approve their own submission.

Open Approve a source

Build

Build guides: sources, assistants, testing, and publishing

Build in this order. Nothing goes live from a draft. Each change to a published assistant creates a new draft and needs approval again.

Approve a source

Add a web page or file, check the owner and review date, approve it, and link it to an assistant. Only sources in approved status can be cited in an answer.

Follow the steps

Build an assistant

Set the name, welcome text, covered topics, approved sources, handoff office, and sign-in rule for one college and one job.

Follow the steps

Test answers

Ask questions the source can answer and cannot answer. Open each source link, check the not-known path, and mark each result pass or needs work.

Follow the steps

Publish the widget

Preview the widget on a test page, test it as a visitor, then publish it on a live college page. Preview links are for named staff only.

Work

Work guides: handoffs, unanswered questions, and reports

Use these guides each week after an assistant is live. Reports point to work, and work ends with an approved source or a recorded decision.

Hand off to an office

Send the question, sources tried, and contact details to the named office and keep the reference number for follow-up.

Open the guide

Work unanswered questions

Group similar questions by theme, assign an owner and due date, add or fix a source, and check the count in the next period.

Open the guide

Read reports

Pick a college and date range, read headline numbers, open the list behind any number, and export the report for a meeting.

Open the guide

Settings

Settings guides: roles, retention, and access

Set these rules before student use and record each change. Student information is shown only to roles that need it for the task.

Set retention and access

Set who may view full questions, how long records are kept, session-only mode, and export rules. Confirm the audit entry after you save.

Open the guide

Ask and check sources

For students and staff: ask in plain words, open each source link, read the source date, rate the answer, and use the handoff when needed.

Open the guide

Checks a tough reviewer will ask about

  • Which college does this source belong to, and who owns it
  • Who approved it, when, and when is it due for review
  • What happens when a source is past its review date
  • Who can view full question text and who can export detail
  • How long records are kept, and whether session-only mode is on
Using a guide

How to use a guide and how to give feedback on one

Guides use the names shown on screen. Follow steps in order and do the check at the end of each step before you move on.

  1. Read who can do the step

Some steps need a builder role, some need an approver role, and some need a college administrator. If your role cannot do a step, ask a person who holds that role and do not use another person’s sign-in.

  2. Pick the right college

Confirm your college workspace at the top of the app before you add a source or assistant. System governance staff can open any college. College staff stay in their own college.

  3. Do the check on screen

Each step ends with something to see, such as a source link that opens, a test result marked pass, or a review date shown in the list. If the check fails, stop and fix that step.

  4. Give feedback with the step number

Note the guide title, the step number, the screen name, and what you expected to see. Share that note with your college administrator or through Request a demo so the guide can be corrected.
