How Campus Answers handles student information

Plain sentences about what is kept, where it is kept, who can see it, and how to ask for a copy or a deletion. Read this before you sign in.

What is collected

Only what the task needs, in the college workspace where the question was asked.

  • The question you type and the assistant you choose
  • The college, the assistant, the channel, and the date and time
  • Feedback you give, such as helpful or not helpful, and any comment you add
  • Files you upload when a form or an upload step asks for them
  • Contact details you give for a handoff, a form, or a status lookup

Visitors on a public website widget are not asked for student record details. Personal questions move the person to sign-in or to the named office.

What is never done

Rules set by the college and held at platform level, not as a per-person switch.

No use for outside training

College questions, uploads, and answers are never used to train, fine-tune, or improve any outside system. On campus-owned servers they are processed on college hardware.

No redisclosure

Student information is used only for the authorized purpose in the college data rule. It is not shared with other colleges or other people outside that purpose.

No training on your copy

Exports and deletions follow the college rule. A copy made for your own records does not change what the college keeps.

Signed school-official terms

The college keeps direct control. Campus Answers acts only under the terms the college signs for handling education records.

Where data is kept and how long each college rule keeps it

Each college sets its own retention rule. The screen states the rule in plain words.

  • On the campus-owned option, data at rest stays on college hardware in New Hampshire, under the college security controls for its data center.
  • For any hosted component, storage and processing are committed to the United States only.
  • A college may set a number of days to keep questions and answers, or choose session-only mode where chat is processed in memory and nothing is kept after the session ends.
  • Expired records are deleted on schedule and the deletion is logged.

Security certification, stated plainly: we do not hold a SOC 2 Type II report or an ISO 27001 certification today. A HECVAT will be completed during evaluation. The campus-owned option runs inside the college data center under the college controls.

Learn how to set these rules in the retention and access guide.

Per-college separation and roles for who can view student questions

One workspace per college under one system. Work stays in its college.

Exact-one-college records

Every assistant, source, question, and report belongs to exactly one college workspace.

Roles decide access

Student information is shown only to roles that need it for the task. Reading full question text or exporting detail needs a separate permission and is audit logged.

System view stays aggregate

System governance sees college totals for oversight. A college sees only its own workspace.

See how approvals work on the features page and how a college starts in the get started guide.

How to export or request deletion of your own material

Two paths, both through the college that owns the record.

  1. Export your own history

Sign in, open Ask, and export your own history in a standard format for your records.

  2. Ask the college contact

Use the college contact named in the privacy notice for that college. State the assistant, the date range, and what you want exported or deleted.

  3. Check the reply

The college confirms what was sent or deleted and when. The request and the action are recorded in the audit trail.
